The full-time fall internship role is for an individual who is willing to learn and has an interest in supporting the Fleet Electronics team in establishing a database and system to ensure compliance with all regulatory requirements.

 

KEY AREAS OF RESPONSIBILITY

  • Familiarize with the Ship’s Electrical, Electronics equipment.

  • Monitor and analyse performance data of vessels.

  • Assist in fleet’s compliance with the Emission regulatory directives.

AREAS OF RESPONSIBILITY

TECHNICAL RESPONSIBILITIES

  • Plan, coordinate and ensure timely follow-up of class and flag requirements in order that the vessel attains sea worthiness and commercial readiness.
    • Determine class / flag requirements and apply to class / flag administration for surveys, inspections, related issues and special requests.

  • Support Superintendents in dry-docking and related activities:
    • Liaise with vessel and other sources to compile dry dock planning requirements / specifications and budget / costing.
    • Compile and review dry-docking specification quote from yards / contractors, prepare and update file for Superintendents, Fleet Manger and Technical Director’s discussion and approval.
    • Monitor, identify and communicate progress and any deviation from dry dock plan.
    • Follow up on documentations (i) upon confirmation of selected yard / contractors and (ii) at the end of dry-docking process including closure of invoices with
      Superintendents.
  • Monitor and ensure all trading certificates are valid, follow up on hot work and daily correspondence with vessel.
  • Administer, review and enforce the ISO procedures (EPS manuals) and requirements for technical processes.

PURCHASING RESPONSIBILITIES

  • Prepare and Issue Purchase order (PO)
    • Ensure approval is obtained and proper closure of the purchasing activities for each technical purchase requirement.
  • Plan, coordinate and ensure that all requirements are delivered to vessel on time, at the right cost and specifications.
    • Identify and source for vessels’ requirements (i.e. general store, spares, provision and bonded stores).
    • Plan, coordinate (with Operations and Fleet Personnel Department) and monitor the delivery of stores / spares to vessels in a timely and cost-effective manner.
    • Solicit vessel’s feedback on supplies and follow up on payments, non-conformities deliveries (quality, quantity, specifications) with respective suppliers.
    • Monitor spare parts readiness and plan delivery to vessel at the earliest convenient port.
  • Update and maintain accuracy of all office records and documentations.
    • Ensure that all documents are properly filed and maintained for ease of reference and retrieval during audits.

The function is responsible for fulfilling the Charter Party requirements of the spot voyage and time charter fixtures, maintaining our reputation as a ‘Shipper of Choice’ and customer satisfaction while keeping voyage related expenses within acceptable levels.

 

AREAS OF RESPONSIBILITY

  • Read all messages pertaining to individual vessels and take action as required
  • Monitor vessels movements and update on applicable software for Operations Module
  • Archive all your vessel E-Mails on a regular basis using Voyage File
  • Responsible for executing voyage related activities starting from Pre–Fixture Planning stage to the Post–Fixture stage involving Claims and Demurrage submission
  • Upkeeping of vessel trading certificates, plans and Q88 information

SPOT VOYAGES

Pre – Fixture:

  • Liaise with Chartering Officer in answering to Charterer’s Queries
  • Send vessel’s Q88, trading certificates and fill up questionnaires as required by Charterer’s and send it to them
  • Ask vessel for stowage plan and send it to charterer’s after getting the same approved from the Operations Superintendent
  • Completing online surveyors and Questionnaires on various platform when required

Vessel Fixed and Subjects Lifted:

  • Get the Fixture Recap from Chartering Officer and study the same along with the C/P and Rider Clauses
  • Forward the Fixture Recap + Riders + Base CP to the
  • Liaise with brokers to get the voyage orders (including narrowed laycan if applicable) and forward the same to Master after going through it and making sure that the same is in line with the
  • Follow up with Master for the final stowage plan and forward the same to Charterer’s after approval by the Operations Superintendent
  • Appoint Agents as required via Outsourcing company
  • Obtain the authorization from the Fleet GM/his designate for making timely PDA remittance to the agent’s account
  • Execute the voyage while always ensuring that legal aspects and liabilities are complied with
  • Provide proceeding instructions to Master as to what speed / consumption the vessel should comply with
  • Follow up on discharge orders and Letter of Indemnity (LOI) with the brokers

On Voyage Completion – Post Fixture:

  • Ensure all Cargo Documents have been received from the Agent and Master
  • Calculate Demurrage and Submit to Post Fixtures as required
  • Reimbursement of Claims from Charterer’s if any
  • Prepare Voyage Result of vessel and submit to Operations Manager

TIME CHARTER VOYAGES

Pre Time-Charter:

  • Liaise with Commercial for all pre-fixture queries and provide all Certificates, Questionnaires as required
  • Send C/P + General Time-charter and Delivery instructions / certificates templates to Master
  • Ensure Delivery Notices are served on time

During Time Charter:

  • Obtain necessary LOI(s) when required
  • Negotiate and appoint Agents for husbandry Arrange for PDA remittance if required
  • Coordinate communication between parties involved in Charter
  • Ensure Time Charter hire is billed promptly
  • Also ensure Bunker ROB’s and other items as per C/P are billed
  • Submit / Complete questionnaires as required by charterers during their voyage fixtures
  • Carry out compliance checks / STS clearance as required

Prior Completion of Time Charter:

  • Ensure delivery notices are served in line with C/P hire period

OTHER DUTIES

  • Update TIME-Bar for all your
  • Appoint Owner’s Agent and arrange PDA remittance as and when required
  • Liaise with Insurance Department as and when a vessel enters War Risk Area keeping them informed if the same in on Owners A/C or Charterer’s A/C
  • Liaise with Security regarding embarkation and disembarkation of Security Guards
  • Appoint Pilot, Local Superintendent, Bunker Surveyor as and when required
  • Obtain various LOI(s) from Charterer’s as required
  • Initiate Freight Billing (To be done once signed Bill of Lading and firm discharge order is available)
